Practice management software with sales tax tracking: BytesHood, TaxDome, Canopy, Karbon, Financial Cents and QuickBooks Online Accountant compared

Most practice tools can run a sales tax checklist. Few track each client’s filings, certificates and nexus by state.

The short answerOf the practice management tools reviewed in October 2026, BytesHood is the one that lists a dedicated sales tax module: Sales Tax Manager tracks each client’s recurring filings by state, prepares a workpaper, keeps exemption certificates with their expiration status and watches economic nexus thresholds, on the same client record as the rest of the firm’s work. TaxDome, Canopy, Karbon and Financial Cents handle sales tax as a general recurring job, workflow template or checklist; none of their published materials we reviewed describe state-by-state filing, certificate or nexus tracking. QuickBooks Online calculates sales tax inside each client’s own books, which is a different job from tracking the firm’s workload across clients.

What “sales tax tracking” should mean for a firm

A business client registered in several states can have a monthly return in one, a quarterly return in another and an annual return in a third. For the firm, tracking that work well means:

  • Recurring filings by client and state, created automatically from each client’s state accounts and filing frequencies.
  • A stage for every filing, from waiting for the client to filed, with who prepared and who reviewed it.
  • A workpaper with taxable, exempt and non-taxable sales, tax due against tax collected, use tax and credits.
  • Exemption and resale certificates with their expiration status.
  • Economic nexus monitoring: each state’s threshold next to the client’s activity there and whether it is registered.
  • Agency notices linked to the client, with response dates.

A generic task list can hold the first two. The rest needs fields and screens built for sales tax.

Workflow templates versus a sales tax module

A recurring job or checklist template is a reasonable start for a firm with a handful of sales tax clients in one or two states. It reminds staff that a return is due and lists the steps.

It starts to strain when clients file in many states at different frequencies. A template does not know a client’s state accounts, cannot show which certificates expire next month, and has nowhere to compare a client’s sales into a state with that state’s nexus threshold. Firms usually end up keeping a spreadsheet beside the practice software for those parts, and the spreadsheet is where filings get missed when someone new takes over.

A dedicated module keeps that information on the client record itself, so the filing calendar, the figures, the certificates and the nexus picture are all in the same place as the client’s returns, payroll tax, invoices and portal.

Where QuickBooks Online fits

QuickBooks Online’s automated sales tax works inside a business’s own books: it calculates tax on invoices and receipts, keeps a sales tax liability report and reminds that business when its returns are due. When a client keeps its books in QuickBooks Online, that is often where the sales figures come from.

A firm still needs a view across all of its clients: which filings are late, which are waiting for the client, who is reviewing what, and which clients are approaching a threshold in a new state. That is practice workload tracking, and it sits next to the client’s accounting system rather than replacing it.

What it costs on BytesHood

There are no paid modules. Sales Tax Manager is included in every BytesHood plan with the other five systems: Client Management, Payroll Tax Manager, Billing & Payment, Client Portal and Tax Notice Manager. The sales tax calculation add-ons BytesHood publishes are free, and a firm can build its own add-on for a state, an industry or its own method on BytesHood’s add-on interface. When another tool may suit you better

  • You have few sales tax clients and mainly need a reminder and a checklist: a workflow template in the tool you already use may be enough.
  • You want a service that files and remits sales tax for clients: that is a filing service, not practice management software. None of the tools above, including BytesHood, file or pay sales tax for you.
  • You are standardized on a platform for other reasons, such as Canopy’s IRS transcript tools for resolution work.

Frequently asked questions

Which practice management software tracks sales tax for clients?

BytesHood Accounting Practice Suite includes a dedicated Sales Tax Manager that tracks each client’s recurring filings by state, workpapers, exemption certificates and economic nexus. TaxDome, Canopy, Karbon and Financial Cents handle sales tax as recurring jobs, workflow templates or checklists; their published materials we reviewed in October 2026 do not describe state-by-state filing, certificate or nexus tracking.

Does accounting practice management software calculate sales tax?

Most practice management tools do not; they track tasks and leave the numbers to the client’s books or a spreadsheet. BytesHood Sales Tax Manager does the return math: its workpaper works from taxable, exempt and non-taxable sales to the tax due, compares it with tax collected, and records use tax and credits, and sales tax add-ons can apply state, industry or firm-specific calculation rules. Like every tool here, it does not file the return or pay the tax; the firm files through each state’s system.

Does TaxDome have a sales tax module?

Not in the materials we reviewed in October 2026. TaxDome’s workflow page describes pipelines and recurring jobs that a firm configures for any process, including tax and payroll work; it does not describe a dedicated module for client sales tax filings, certificates or nexus. Ask TaxDome for current details.

Is QuickBooks Online Accountant enough for tracking clients’ sales tax?

QuickBooks Online calculates sales tax and tracks the liability and due dates inside each client’s own company file. It does not describe a firm-wide view of every client’s sales tax workload, certificates and nexus across states. Many firms use both: the client’s books for the figures, and practice software for the work.

Does BytesHood charge extra for Sales Tax Manager?

No. Sales Tax Manager is included in every plan with the other five systems. BytesHood’s own sales tax calculation add-ons are free, and firms can build their own add-ons on BytesHood’s add-on interface.

Does any of this software file sales tax returns?

None of the practice management tools compared here file or pay sales tax for the firm’s clients. Returns and payments still go through each state’s system or through a separate filing service.
