Welcome home

Switching from ATOM? We’ll help carry everything over.

You didn’t plan on moving. Nobody does, least of all with clients waiting. So let us do the heavy lifting.

Bring ATOM’s Client Export and your Account Docs into BytesHood. Move in reads ATOM’s Excel file as it is and puts each client back together, then you check every client and import, with nothing on file overwritten and an Undo for 30 days.

  • Move in is included in every plan
  • Check every client before anything is saved
  • Undo the whole move for 30 days

We hear you

Maybe one of these sounds familiar.

Firms rarely change software on a whim. Usually something kept getting in the way. Here is how we would answer it.

“Every new hire makes the bill bigger.”

Our plans are per firm: Single for one person, or Firm with three staff seats included. See pricing

“Sales tax and payroll still live in a spreadsheet.”

Sales Tax Manager and Payroll Tax Manager are in every plan, on the same client record as everything else.

“I’m scared something gets lost in the move.”

You check every client before anything is saved, nothing on file is overwritten, and the whole move can be undone for 30 days.

“I can’t stop working to move systems.”

Move in whenever you are ready, right after setup or months later. Keep your old system until you are sure.

“I don’t know where my clients’ data actually lives.”

Your firm gets its own dedicated server, in the United States. Our security approach

“When I need help, I want a person.”

Moving day

From ATOM in four gentle steps.

Firm Settings › Move in walks your administrator through it, right after setup or later, once you have tried things out.

  1. 1

    Export from ATOM

    • Reports › Client Export: choose a start date, every professional and all return types, then Export to Excel and save the file.
    • ATOM writes a client once for each tag they have. Move in puts each client back together.

Documents: in Account Docs, select the documents and choose Actions › Download as ZIP. Put each client’s in a folder named for them, then zip those folders together.

  2. 2

    Add your files

Drop in the lists and zips of documents as they come. Move in works out what each list is and what each column means, and you can change any of it under Check columns. A column with no place of its own is kept in the client’s notes.

  3. 3

    Check every client

See what will happen, in numbers, then every client: new, added to a client already here, or left out. Match old staff names to your users and old stages to your return statuses. Nothing is saved yet.

  4. 4

    Import

All records go in at once. Documents are stored in the background with their folders kept; you can leave the page, and Continue picks up where a stopped upload left off.

What comes with you

Your clients, their people, their history and their files.

An imported client is a full BytesHood client, ready for every system in the suite.

  • Individual and business clients, numbered in BytesHood (businesses as B and four digits)
  • The people on each account: a second adult becomes the spouse, both clients and linked; a minor is noted as a dependent; a couple’s name such as “Tomas and Ana Reyes” becomes two clients; people on a business become its contact person and owners
  • Contact details: phones, emails, mailing address and date of birth
  • SSNs and EINs, SSNs stored encrypted
  • Tags and notes
  • Tax returns: a return with a year becomes that client’s tax year, at the status you match its stage to, with the staff you match its old assignee to; other work and tasks become notes
  • Invoices and payments as Earlier invoices on the client record: your history, kept apart from today’s billing
  • Documents under From ATOM in each client’s files, with their folders kept

Good to know about ATOM

  • ATOM’s “Excel” export is read as it is, even though it is really a web-page table.
  • One client with several tags comes over as one client with all the tags, and the spouse on the row becomes a client of their own.
  • Columns are recognized from each system’s help pages and common names. Anything not recognized can be set by hand under Check columns, or is kept in the client’s notes as “Details from ATOM”.
  • Choose what to leave out before importing: notes, SSNs, work, invoices or documents.
  • A name that appears only on an invoice or job, such as a former client, becomes a client too, unless you turn that off.

Our promises to you

Your client list is the most valuable thing you own. We’ll treat it that way.

  1. You decide every client. Each one is new, added to a client already here, or left out, and you can change any of them. A client is matched on its own only when it is certain: the same SSN, the same EIN, or the same name and email.
  2. Nothing on file is overwritten. A client already here only gains what it lacks: a phone, an email, a tag, an empty field filled. A shared email alone never merges two people.
  3. You can change your mind for 30 days. Take the whole move-in back from the list of move-ins. Clients you have worked on since are named first and kept unless you say otherwise.
  4. We won’t email your clients. Importing sends them nothing and queues no portal invitations. You decide when they hear from you.
  5. Their SSNs are handled with care. Stored encrypted, shown masked while you check columns, never copied into notes. The uploaded lists are deleted once imported.
  6. Big firms are welcome. Lists of up to 50,000 rows and document zips of up to 50 GB. A stopped document upload continues where it left off.

With care,

Coming from somewhere else?

Move in reads six systems, and any spreadsheet.

TaxDome, Canopy, Karbon, Financial Cents, HoneyBook and ATOM each have their own steps. Anything else comes over from Excel or CSV.

FAQ

Questions about leaving ATOM.

Short answers about moving your firm to BytesHood.

Can I move my firm from ATOM to BytesHood?

Yes. BytesHood’s Move in, in Firm Settings, has step-by-step export instructions for ATOM. It reads ATOM’s files as they come, lets you check every client before anything is saved, never overwrites a client already on file, and can be undone for 30 days.

How do I export my clients from ATOM?

In ATOM, open Reports > Client Export, choose a start date, every professional and all return types, then Export to Excel and save the file. Add it to BytesHood’s Move in as it is.

ATOM lists my clients once per tag. Will I get duplicates?

No. Move in puts each client back together as one client with all their tags, and the spouse on the row becomes a client of their own, linked as a spouse.

Will importing overwrite clients I already have in BytesHood?

No. A client already here only gains what it lacks: a phone, email or tag it doesn’t have, or an empty field filled. A client is matched on its own only by the same SSN, the same EIN, or the same name and email together; anything less is shown as a “Maybe” for you to choose.

Can I undo a move-in?

Yes, for 30 days, from the list of move-ins. The clients it made are removed with their files, and the clients it added to lose what it added. Clients you have worked on since are named first and kept unless you choose to undo them too.

Will my clients be emailed when I import them?

No. Importing emails no one and queues no portal invitations.

Does moving in cost extra?

No. Move in is part of Firm Settings in every BytesHood plan.
